Looking to fill a Chapel Administrative Assistant contract position:

Must have a minimum of two (2) years' experience as a Chapel Administrative Assistant.

The individual must not have derogatory information which will preclude them from passing a background security check i.e. criminal convictions.


Shall provide all necessary services to complete tasks specified in support of the Wing Chaplain and shall report directly to the Wing Chaplain or his designated representative. Will perform at a minimum, administrative, planning and coordinating tasks specified below in support of programs as directed by the Wing Chaplain. The contractor shall be proficient in the contract responsibilities.

The contractor shall schedule regular office hours (based on a 40 hour work week) that shall be performed at the Base Chapel facility. Work hours will be reviewed and approved by the Wing Chaplain or a designated representative.

The contractor shall manage and organize resources needed to efficiently and effectively meet the objectives of each task, as well as explore new approaches as applicable within the performance of these tasks.

The contractor shall serve as liaison between the Wing Chaplain, other chaplains, chaplain assistants and other Hurlburt Chapel staff members. The contractor will also act as liaison between his / her secretarial counterparts to include but not limited to secretaries/ Administrative Assistants of Team Hurlburt senior leadership, 1 SOW/CC and AFSOC/CC. The contractor will remain familiar with and knowledgeable of Chapel protocol including the boundaries governing privileged communication. To this end, contractor will make themselves familiar with Military Rules of Evidence 503. (MRE 503)

The contractor shall review, edit and route various official documents to include but not limited to EPRs, OPRs, PRFs, Awards and Decorations, and Staff Summary Sheet (SSS) packages.

The contractor shall schedule, update, and /or edit Wing Chaplain's calendar as related to the chapel, wing, and Team Hurlburt calendars.

The contractor shall receive training for E-staffing and Defense Travel System (DTS) and assist/train HC staff members in accordance with AF guidelines.

The contractor shall continually update, edit, and send the following: Recall/staff rosters, funeral rosters, projected leave/TDY calendars, and all requests for invocations, OPR/EPR listings, wing suspense listings, and facility schedules to all HC/Wing staff.

The contractor shall create/submit memorandums for records, track chaplain on-call duty schedules, and take minutes at weekly HC staff meetings.

The contractor shall provide phone coverage for the Chapel when personnel are out of the immediate area.
